What this tool measures

Most coaches set their price by looking sideways. You check what two or three other people in your city charge, land somewhere in the middle, and hope the maths works out. This calculator runs it the other way around: start from the income you want, subtract what running the business costs, divide by the hours you can genuinely teach, and let the price be whatever that arithmetic says it has to be.

It works for personal trainers, fitness and yoga coaches, tutors, music teachers, business and life coaches, physiotherapists, anyone who sells sessions of their own time. What it will not do is tell you what the market pays. It tells you your floor, which is the number below which you are working hard to earn less than you decided you needed.

It also prices a mix rather than one format, because almost nobody teaches only one thing. Add a row for each stream you run — one-to-one in the mornings, a group class on Saturdays, a beginners course that is worth less per seat than the advanced one — and every price is solved at once. That matters because your streams compete for the same hours: adding a class does not add capacity, it spends it, and the arithmetic only works if all of them are in the same calculation.

Why the streams have to be priced together

Two constraints have to hold at the same time, and neither is visible when you price one format on its own. The streams together have to earn your target, and the streams together have to fit in the hours you have. Run the tool once per format and add the results up, and you will have satisfied the first while quietly breaking the second.

Seats are also not worth the same. An hour of one-to-one attention is worth several times an hour of a twelve-person class seat, and a specialist skill is worth more than a beginner one. Rather than ask you to guess absolute prices, each stream carries a relative weight and the tool solves for the one figure that makes the whole week work.

The most useful thing you can do with it is fix a price you will not change. Tick the fixed-price box on your one-to-one, type in what you already charge, and watch what the rest of the mix has to become. That is the question most coaches actually have, and it cannot be answered one format at a time.

The number that breaks most pricing

Utilisation. Almost everyone plans as though every hour they are available gets sold. Then reality arrives: a client moves to Dubai Marina and the commute no longer works, another pauses for Ramadan, a third cancels on Thursday and nobody fills the slot, and August is quiet everywhere.

If you are available 20 hours a week and 70 percent of them sell, you are teaching 14. Price for 20 and you are 30 percent short every month while working the same days. That gap is why coaches who are visibly busy still find themselves short at the end of the month.

Set utilisation at 65 to 75 percent unless you have a waiting list. If you have a waiting list, you are underpriced, which the calculator will also show you.

How to read the result

The price per session is a floor. It is what one seat has to earn for your target to work with the hours you have. If it lands above what your market pays, you have three levers and only three: charge more and deliver something worth more, teach the same hour to more people, or accept a smaller income.

The client count is usually the figure that changes behaviour. Coaches think in sessions and get surprised when they see how few people that actually is. Twelve clients at four sessions a month is a full-time one-to-one practice. That number is small enough that losing two matters, which makes retention worth more attention than another marketing push.

Sessions a week is the reality check. Anything past about 25 leaves nothing for planning, replying to enquiries, invoicing and recovering. The first thing to give way at that volume is follow-up with new leads, and that is the thing your income depends on next month.

Groups change the arithmetic, not the effort

Switching one hour from a single client to six people at a third of the price doubles what the hour earns. That is why almost every coach who gets past a ceiling gets there through groups, memberships or a cohort rather than by charging one-to-one clients more each year.

Set the group size to what you can reliably fill, not what the room holds. A twelve person class that runs with five is priced as a five person class, and doing that for six months is how a good idea becomes a bad quarter.

What to do next

Run it twice. Once with the hours and utilisation you have now, once with the version you want a year from now. The gap between the two prices is what your marketing, your reputation and your delivery have to earn in that year.

Then check what actually stops you charging the higher number. In our experience with coaches in the UAE it is rarely the coaching. It is that enquiries arrive on Instagram and WhatsApp at 10pm, get answered two days later, and the person has already booked someone who replied in ten minutes. Fix the response before you fix the price.

Questions people ask

Should I enter my income before or after tax?

Enter what you want to be left with. In the UAE there is no personal income tax on employment or most freelance income, so the take-home figure is usually the figure. If you are elsewhere, or you operate through a company that pays corporate tax, add a margin on top of your target before you type it in.

My floor price is higher than anyone in my city charges. Now what?

Then the plan as stated does not work, and it is better to know now. Something has to move: more hours, higher utilisation, group delivery, a lower target for this year, or a genuinely different offer that justifies the price. Quietly working more hours for less is the option that looks like a solution and is not.

Should packages be cheaper per session than single sessions?

Usually a little, because a package buys you certainty and cuts the selling you do each month. Keep the discount small, around 10 percent, and remember the calculator gives you the price you need, so any discount has to come off a rate that was already above the floor.

Does this cover online and in-person the same way?

The arithmetic is identical. Online usually improves utilisation, because there is no travel between clients and a cancellation is easier to refill, and it often lowers your monthly costs. Run it once for each and compare.

Is anything I type here sent to you?
