What this tool measures

This calculator reports hours, not money. Converting hours to a saving requires a loaded hourly cost that only you know, and a currency figure produced from an assumed salary would be the one number on this site nobody could defend. Hours can be checked against a timesheet, which makes them worth arguing about.

It works by taking the steps that happen between an enquiry arriving and a client being properly set up, applying a typical human time to each, multiplying by your monthly volume, and then applying a conservative estimate of how much of each step automation actually removes.

How to use it

Set your monthly volume to everyone who goes through the process, not only the ones who buy. The chasing, scheduling and qualifying happens for the ones who do not convert too, and that time is real.

Then untick anything you already automate. The default assumes all of it is manual, which is a fair starting point for most small teams and unfair to anyone who has already done some of this work.

How to read the result

No step is treated as fully automatable except logging the enquiry, because every other step keeps some judgement in it. Sending a proposal can be templated and populated automatically, and someone still decides what goes in it. That is why the automatable share on most steps sits between 50 and 90 percent rather than at 100.

The hours per person figure is usually the one that lands in a management conversation. Twenty hours a month across a team of three sounds abstract. Nearly seven hours each, or most of a working day, does not.

Be careful with the reverse claim. Hours returned are not automatically hours of profit. They are capacity, and capacity only becomes value if it goes into work that pays or into work you were skipping.

What to do next

Pick the single step with the highest total, not the one that is most annoying. They are frequently different, and the annoying one is usually a small amount of time carrying a large amount of irritation.

Then time yourself doing that step three times and compare it against the default in this tool. If your real figure is meaningfully different, trust yours. The shape of the answer holds either way.

Questions people ask

Why not show the money saved?

Because it would require assuming a salary, and any figure produced that way is a made-up number wearing a suit. Multiply the hours by your own loaded cost per hour and you get a figure you can actually stand behind.

Are the per-step minutes realistic?

They are typical for a small services team. If your process is heavier, particularly on documents and kickoff, your real numbers will be higher.

What does the automation itself cost?

For most teams at this size it is a platform subscription plus a build. The build is a one-off and the subscription is small relative to the hours. Whether that trade works depends on your volume, which is exactly what the calculator is showing you.
