What no-shows cost you, and what reminders actually recover

An empty slot generates no invoice, so it generates no record. The loss is invisible on every report you already look at, which is why it goes unaddressed for years.

Every business that takes appointments knows it loses money to no-shows, and almost none of them know how much. The reason is structural rather than careless: an empty slot never generates an invoice, so it never generates a record. It does not appear on your revenue report, your booking system counts it as a booking, and the only trace is a quiet afternoon nobody thought to measure.

Booking work is the third-largest uncovered theme in our own job data — 49 of 28,614 briefs mention booking or appointments directly — and it is the one that connects most cleanly to something you can fix this month.

What the published rates actually are

These are benchmarks rather than our estimates, and the variation between two salons is wider than the variation between salons and clinics. Use them as a starting point and replace them with your own figure the moment your booking system can tell you one.

A salon running 400 appointments a month at AED 180 each, at the published 15%, is losing 60 appointments and AED 10,800 every month. That is AED 129,600 a year that never appeared on a single report.

Why reminders work at all

Most no-shows are not decisions. They are forgetting, which is the entire reason a message the day before moves the number as much as it does. The published effect of SMS and automated reminders is a 38 to 50 percent reduction, reaching 60 to 70 percent when the reminder arrives with a low-friction way to cancel.

The number most calculators get wrong

It is tempting to take the prevented no-shows, multiply by your appointment value and call it recovered revenue. That is a sales pitch rather than a calculation. A cancellation you hear about a day ahead can be filled from a waiting list; one you discover when nobody walks in cannot be filled at all.

A busy salon with a waiting list might genuinely fill eighty percent of freed slots. A consultancy with appointments booked three weeks out will fill almost none of them at short notice, and its real gain is the earlier warning rather than the revenue. Our calculator asks for that share explicitly, and defaults to the conservative end of the published reminder range rather than the best result in the literature.

What is left after reminders

No reminder system reaches zero. What remains is the group who decided not to come rather than the group who forgot, and that group does not respond to more messages — they respond to deposits and a stated cancellation policy. That is a commercial decision rather than a technical one, and it is worth making deliberately once you know what the residue is worth.

Questions people ask

What is a normal no-show rate?

Between 10% and 22% depending on the sector, with veterinary and legal work at the low end and therapy at the high end. If your own booking system can report yours, use that instead — the spread within a sector is wider than the spread between sectors.

Do SMS reminders really reduce no-shows?

Published studies put the reduction at 38 to 50 percent, reaching 60 to 70 percent when the reminder includes an easy way to cancel. One dental study of 1,193 appointments found SMS produced the lowest no-show rate of any channel.

SMS or WhatsApp for appointment reminders?

Whichever your customers actually read. WhatsApp carries a higher expectation of a reply, which is good for confirmations and means somebody has to watch the inbox. SMS is one-way and simpler to reason about. The published reduction figures cover both.

How many reminders should I send?

Two is the usual answer: one at booking and one the day before. A third tends to annoy more than it saves, and every extra send costs money at volume.

Are deposits better than reminders?

For the people who decided not to come, yes, and nothing else works. For the much larger group who simply forgot, a deposit is friction added to a booking that would have happened anyway. Most businesses need both, aimed at different problems.
