What this tool measures
Every business that takes appointments knows it loses money to no-shows. Almost none of them know how much, and the reason is structural: an empty slot generates no invoice, so it generates no record. The loss is invisible on every report you already look at, which is exactly why it goes unaddressed for years.
This puts a figure on it using published per-sector no-show rates — from ten percent for veterinary and legal work to twenty-two percent for therapy — and then does the harder half, which is working out how much of it you could realistically get back.
Why reminders work at all
Most no-shows are not decisions. They are forgetting, which is why a message the day before moves the number so much. Published studies put SMS and automated reminders at a thirty-eight to fifty percent reduction, reaching sixty to seventy percent when the reminder comes with an easy way to cancel.
That last detail is counterintuitive and it is the important one. Making it easier to cancel reduces no-shows, because a cancellation you receive is a slot you can refill and a no-show you receive is a slot you cannot. You are not trying to force attendance, you are trying to find out earlier.
The tool defaults to the bottom of the published range rather than the top. A calculator that assumes the best result in the literature is a brochure, and thirty-eight percent is still a large enough number to act on.
The honest input

Set it to what your diary actually does. A busy salon with a waiting list might genuinely fill eighty percent of freed slots. A consultancy with appointments booked three weeks out will fill almost none of them at short notice, and its real gain is the earlier warning rather than the recovered revenue.
Put the cost of sending the reminders in too. At volume, WhatsApp utility messages and SMS both cost real money, and a recovery figure that ignores what it costs to achieve is not a return.

Get your real no-show rate before you spend anything. Any booking system can tell you, and it takes ten minutes. The benchmark here is a reasonable starting point and your own number is always better.

SMS or WhatsApp for reminders?
Whichever your customers actually read. WhatsApp carries a higher expectation of a reply, which is good for confirmations and means somebody has to be watching the inbox. SMS is one-way and cheaper to reason about. The reduction figures in the research cover both.
How many reminders should I send?
Two is the usual answer: one at booking and one the day before. A third tends to annoy more than it saves, and every extra send costs money, which is why the tool asks what the reminders cost rather than treating them as free.
Do deposits work better than reminders?
For the people who decided not to come, yes, and nothing else does. For the much larger group who simply forgot, a deposit is friction you have added to a booking that would have happened anyway. Most businesses need both, aimed at different problems.
